Hopefully you have had a chance to check out part one of this series, where we explored the To Dos functionality within Clarity’s My Workspace feature.

If you have read part one, you will be aware that Clarity version 16.0.3 rolled out a new concept called Collaborative Work Management (CWM). The To Dos that were introduced provide a centralized place to manage work items and incorporate ad-hoc activities into the project workflow.

Subsequent Clarity versions have added additional features to help all Clarity users stay on top of their work. In this article, we’ll take you through how to use these features and which Clarity version you’ll need for each one.

To navigate to My Workspace, click on the link on the left-hand side menu.

Action Items

The Action Items tab was added to My Workspace in version 16.1.1. This feature allows you to view your action items across all investments and gives you the option to complete these actions.

This is particularly helpful because it enables you to see all your action items in the ModernUX, without having to switch back to Classic. The only exception is manual items that have been created in Classic, but this situation does not come up often.

The left-hand side menu gives you the option to easily filter for those which are Open, Pending, or Closed.

When viewing action items, you will see details such as project name, change request name, etc.

You may also choose to view the history of the action by clicking on the arrow.

This will show you if there are any other approvals that have already taken place and also show you when the action was created.

Once you reviewed your action item, you can choose your response by clicking on the buttons available on this page.

After you have clicked on your response to the action item, a notification will appear at the top of your screen, confirming the action is complete.

The action item has now moved down to Closed.

The Action Items tab also provides the ability to show you when action items are Pending. This means that while you may have completed your action, the action item itself may be assigned to more than one person. In this case, the other assignees have yet to complete their actions.

So, in this example, we have approved this Change Request.

The item has moved to Pending and we can see that while one assignee has approved, it has actually been sent to 3 recipients.

A view of pending action items is useful, as it lets you see why a process may be stalling, even if you have completed all your actions.

Conversations

The Conversations tab was introduced to the My Workspace page in 16.1.0. This feature provides a central location where you can view all items where you are mentioned.

Each mention will appear on the left-hand side. You can click on the items on the left and then on the right, and you can reply or go to the individual project records.

Your response will go directly back to the user who initiated the conversation. You may also choose to include others by using the ‘@’ symbol. Simply select the name of the user you would like to include in the conversation.

Once you have completed your comment, you may choose to add attachments or to post your comment.

Conversations are automatically sorted, so the newest items are at the top. You may also choose to refresh your conversation list using the refresh icon.
