Montefiore Health System is one of the USA’s largest healthcare providers and serves the New York communities in Westchester County, the lower Hudson Valley and the Bronx. Founded in 1884, Montefiore today consists of eleven hospitals; state-of-the-art primary and specialty care provided through a network of more than 180 locations across the region; an extended care facility; the Montefiore School of Nursing; and the Albert Einstein College of Medicine.

The challenge: supporting change and innovation

Montefiore combines clinical care with research to deliver the most current treatments to patients and to advance new ones to further benefit their health. Information technology is fundamental to providing high levels of care as well as supporting the organization’s operations. Since 2013, Montefiore has expanded significantly; opening and acquiring new medical centers and forming partnerships to bring additional hospitals into the system.

Montefiore’s IT projects include deploying new clinical systems and technologies, streamlining and upgrading infrastructure and applications, and implementing changes in response to governments mandates and new regulation. Any project delivery shortcomings could impact patient care, revenues, or compliance.

Having successfully used Clarity for more than 15 years, Montefiore was keen to enhance its PPM processes and implement additional functionality to help it better support business goals, today and in the future.

The solution: PPM enhancements and a multi-year roadmap

Montefiore IT turned to its partner of seven years, Rego Consulting, to review and improve its PPM capabilities.

Rego conducted a full assessment and gap analysis of Montefiore IT’s current process and Clarity implementation, following which it presented a multi-year roadmap of recommended enhancements. The two organizations are now three years into the roadmap, during which time a number of improvements have been delivered.

For example, a go-live calendar was developed to show project implementation schedules and their impact on resource availability. Rego also assisted with the integration of Clarity PPM with Jaspersoft to provide additional reporting, such as project management dashboards that enable project managers to measure project status and health against Montefiore IT’s standard KPIs and methodology, ensuring that projects are managed consistently and aligned to organizational KPIs. Portfolio summary reports for Montefiore’s executive team have also been developed, providing the ability to drill down into more detail and segment data in order to gain greater business insights.

Throughout implementation of the PPM roadmap, Rego has provided process development and training, assistance with system upgrades and custom functionality, and portlets as well as other reporting improvements. Montefiore also uses RegoXchange, an extensive Clarity content library, for training videos and to access additional plug and play portlets.

The benefits: enhanced quality and consistency

By working with Rego, Montefiore IT has successfully extended its PPM capabilities and enhanced the quality of outcomes delivered by its 800 PPM users.

Montefiore IT is continuing to work with Rego on its multi-year PPM road map, which has so far delivered:

Better capacity management: with clear visibility of resources, any limitations can easily be identified, which improves portfolio and project planning and enables delivery in line with expectations.

Enhanced processes and efficiency: streamlined processes combined with increased automation and customization have further improved project quality and delivery as well as reducing manual effort.

Stronger governance: greater insight into the project portfolio and more clarity around individual projects has reinforced adoption of a standard approach to PPM as well as aiding governance.
